By using Koohost.ai ("Koohost", "we", "the Service"), you agree to these terms. Plain-English summary: it's a tool to help you run your short-term rentals. You own your data. AI suggests, you decide.
Koohost is an operations dashboard for short-term-rental hosts. It connects to your existing accounts (Hospitable, PriceLabs, Nest, etc.) and uses AI to help you respond to guests, set prices, and run your properties.
You sign in with email + password, or via Google. Passwords are stored as a salted pbkdf2-SHA256 hash with 600,000 iterations — we cannot read your plaintext password and no Koohost employee ever sees it. If you sign in with Google, Google handles the authentication and we only receive your verified email and name. New accounts are "pending" until a Koohost admin approves them (we manually review every signup during early access). After approval you'll be prompted to verify your email address before you can add properties.
Koo (our AI assistant) drafts replies and proposes pricing decisions. You're the final decision-maker — Koohost will never send a guest reply or push a price override without your explicit approval. AI output may be inaccurate; review it before sending.
If Koo proposes a price override and you approve it, those overrides propagate through PriceLabs → Lodgify → your channels. You are responsible for the rates that go live. Always review proposed changes before approving.
Subscription plans. Solo Host is $15/month; Pro Host is $30/month. Both renew automatically on the same day each month until cancelled. Annual plans ($162/yr Solo, $324/yr Pro) renew once per year.
Cancellation. You can cancel anytime from /billing. Your subscription stays active through the end of the period you already paid for; we don't charge you again after that. Service ends at period end — you keep what you've paid for, no automatic refund for unused days.
Refund policy. Monthly plans are non-refundable once the current period has started, but you can cancel future renewals at any time. If you were charged in error (duplicate charge, wrong amount, fraud), email support@koohost.ai within 30 days and we'll investigate. Annual plans paid more than 14 days ago are non-refundable except as required by law; within the first 14 days you can request a full refund.
Failed payments. If your card is declined on renewal, Stripe retries automatically for ~21 days. During retries your subscription stays active. If all retries fail, the subscription is cancelled; you can re-subscribe anytime by updating your card.
Plan upgrades. Upgrading mid-cycle bills the prorated difference immediately (e.g., upgrading Solo→Pro on day 5 of a 30-day cycle charges roughly $12.50 right then). Future renewals are at the new plan price.
Plan downgrades. Downgrades from Pro Host to Solo Host require contacting support so we can migrate off your PMS integration cleanly before reducing the plan.
Referrals. When someone you refer subscribes, you earn a 20% recurring commission on each of their invoices, automatically credited before your card is charged, up to $200 per referred user per year.
Koohost is provided "AS IS" and "AS AVAILABLE", without warranties of any kind, express or implied, including but not limited to fitness for a particular purpose, merchantability, non-infringement, or that the Service will be uninterrupted, secure, or error-free.
To the maximum extent permitted by law, neither Koohost nor our suppliers will be liable for any indirect, incidental, consequential, special, or punitive damages — including lost profits, lost revenue, lost data, business interruption, or substitute-service procurement costs — even if we've been advised of the possibility of such damages. Our total cumulative liability for any claim arising from or related to the Service is limited to the amount you actually paid us in the twelve (12) months immediately preceding the event giving rise to the claim, or US $100, whichever is greater.
Your data. You own everything you put into Koohost — your properties, your guest messages, your knowledge base, your photos, your house rules. We process that data on your behalf to deliver the Service.
Our software. Koohost the platform, the Koo mascot, the trademarks, the source code, and all other Koohost-developed materials remain our intellectual property. You don't get a license to copy, redistribute, reverse-engineer, or build a competing service from them.
AI-generated suggestions. The text our AI suggests is yours to use or discard. You're responsible for what you send to guests after approving an AI draft.
You can stop using Koohost anytime by cancelling from /billing and (optionally) deleting your account via /account/delete. We can suspend or terminate an account that violates these terms, abuses the Service, threatens our infrastructure, or causes harm to other users. On termination, your data is deleted within 30 days unless you request earlier deletion (immediate via account-delete) or we're required to retain it for legal reasons (tax, audit, fraud investigation).
Informal first. If you have a dispute with us, email support@koohost.ai and we'll try to resolve it within 30 days. Most issues are billing miscommunications that get fixed fast.
Binding arbitration. Any unresolved dispute that the parties cannot settle within 30 days will be resolved by binding arbitration administered by the American Arbitration Association under its Commercial Arbitration Rules. The arbitration will be conducted in English, in the State of Georgia, USA, before a single arbitrator. Judgment on the award may be entered in any court of competent jurisdiction.
Class-action waiver. You agree to bring claims only in your individual capacity, not as a plaintiff or class member in any purported class or representative proceeding.
This section doesn't prevent either party from seeking injunctive relief in court for intellectual-property infringement or unauthorised access.
We'll email you at least 14 days before any material change to these terms. Continued use after a material change constitutes acceptance.
These terms are governed by the laws of the State of Georgia, USA, without regard to its conflict-of-laws principles.
